About the Project

E-Hotel is a mind-reading concierge. The CRM is designed to store guest preferences and past stays to personalize the user experience and allow hotel personnel to provide customer-centric service. It offers informative dashboards, guest management tools, room booking history, inventory control, and even access to guest reviews. E-Hotel is a true command center for hoteliers.

Our Task

The client needed a guest management platform that would unify guest contacts, communication history, and detailed information about each room and amenity. Our team had to design a custom CRM that would go beyond basic guest management. It had to streamline repetitive tasks like sending pre-arrival emails, managing housekeeping requests and arranging customers and rooms into easily manageable bases.

Our Solution

Our design team created an intuitive CRM with a central dashboard that provides a real-time snapshot of guest information, interaction history, and room details. The platform consists of modules for guest profiles, communication channels, and room management. Each module seamlessly integrates with the others and provides a unified hub for flawless staff performance. E-Hotel CRM allows staff to focus on the interaction with guests while the platform handles the behind-the-scenes operations.

Our Design Process

Research & Discovery
Initial research and discovery phase

To understand the essence of hotel operations, we tried to see things from the hotel staff's perspective. We interviewed personnel to learn their daily struggles. Moreover, we also analyzed guest behavior to discover how they interact with the hotel before, during, and after their stay. The study of competitors' CRMs helped us identify the strong and weak sides of guest relationship management. This comprehensive research provided us with precious insights for the creation of a user-centric platform that equally addresses both staff needs and guest expectations.

Wireframing
UX stage

Based on these findings we created fundamental layouts – wireframes. These are so-called blueprints that define the core functionalities and information architecture of E-Hotel. We crafted digital mockups that visualized the platform's layout, screens and key element arrangement. Wireframes helped us visualize the flow of guest information, from booking to post-stay feedback. Based on it, our designers worked out comprehensive dashboards with easy access to crucial details like guest profiles, room availability, and communication history. This stage helped us polish the platform's usability.

UI Design
UI stage

Having the core structure in hand, we moved on to the visual elements. We focused on crafting a user-friendly and aesthetically pleasing interface. But UI design steps far beyond pure aesthetics – it prioritizes clarity and ease of use. Our designers created intuitive menus, well-organized dashboards, and automated data entry fields. E-Hotel offers comprehensive guest profiles that display key information at a glance and simple housekeeping request forms that automate the process. Hotel staff can quickly check room status, respond to guest inquiries or send a personalized offer – all routine operations are conveniently performed within one CRM.

Adaptive Design
Adaptive design stage

The hotel staff has to solve endless issues across locations. One of our tasks was to ensure the platform functions flawlessly on any screen size, from desktops to smartphones. With E-Hotel, a hotel manager can access the necessary information from anywhere. The solution empowers staff to operate efficiently from anywhere, from managing reservations from the front desk to coordinating housekeeping requests on the go. Adaptive design is a key to customer loyalty.

Clickable Prototype
Clickable prototype stage

Before finalizing the E-Hotel design, we created a clickable prototype to test user navigation. It is like a digital mockup that demonstrates the main capabilities of the software. In simple words, it is a demo testing of a CRM. The clickable screens allowed our client to interact with core features and see how the staff can quickly access guest information, manage room reservations, and personalize guest experiences. This collaborative testing with the client armed us with precious feedback to enhance the user experience in the final product.

Wireframing

To help our client better understand the CRM structure, we presented a set of basic wireframes. These screens demonstrated all key functions the hotel personnel can perform within the CRM. The screens showed the main dashboard, guest base, concierge service, room list with details and guest reviews. These wireframes showed a full cycle of what E-Hotel offers.

Visual Design

We aimed to use colors and fonts to turn E-Hotel into a pleasing working platform where nothing distracts hotel staff from performing their routine duties. The cool green base colors create a calming and focused environment. They promote efficiency and clear decision-making. Slight touches of red and yellow add bursts of energy, helping users stay motivated and engaged throughout their workday.
